Job Summary

Responsible for all aspects of donor stewardship, including retention and reactivation. Implement the organization’s donor acknowledgment and stewardship plan to enhance and strengthen supporter relationships of all levels and build a culture of gratitude. Perform a variety of support functions to ensure that donors are appreciated, informed, and engaged.

Key Duties and Responsibilities

·         Implement and evaluate a comprehensive donor relations and stewardship program that deepens our philanthropic relationships.

·         Assist in planning, organizing, and executing all stewardship projects and events and collecting and reporting donor engagement metrics.

·         Create, write, and distribute electronic and hard copy acknowledgments such as postcards, thank you letters, emails, videos, and other stewardship communications.

·         Utilize the donor database to export data and mailing lists.

·         Generate and send weekly gift acknowledgments in a timely and accurate manner.

·         Responsible for memorial and tribute donation acknowledgement.

·         Work with the Philanthropy team to grow the Happy Tails League monthly giving program and retain members. Includes making phone calls, sending gifts and cultivation items, coordinating donor events, and data management.

·         Create and implement a plan for segmentation of donor communications, including thank you letters and emails.

·         Responsible for Facebook donor research and thank-you notes.

·         Make phone calls to new and lapsed donors and provide donor support via phone and email daily.

·         Actively research best practices for donor cultivation.

·         Implement initiatives to encourage, maintain, and improve donor retention and reactivation rates.

·         Work with Communications team to design deliverables and maintain email lists.

·         Special projects for major gifts team such as donor event RSVPs and reminders, mailings, etc.

·         Assist with major event preparation and execution. Responsible for post-event stewardship including postcards and handwritten thank you notes.

·         Collaborate with the volunteer and HR departments to include volunteers and staff in the stewardship plan.

·         Create opportunities for additional donor recognition and identify ways to connect donors to the mission.

Provide general administrative support to team members as necessary and work in collaboration across units to support the stewardship efforts of the office.
Support Administrative Assistant in answering questions, directing patrons, and helping with deliveries.
·         Other projects as assigned.

·         Commitment to the mission, values, goals, and success of HSPPR.

·         Appropriately documents observed animal behaviors utilizing objective language as required in relevant procedures and/or policies.

·         Perform all other duties as assigned.

Volunteer

Work cooperatively with all volunteers and recognize the talent and commitment they bring to HSPPR.

Community Relations

Help the community and donors recognize the daily, life-saving work HSPPR does by sending pictures and stories to the Philanthropy team
Aid the Philanthropy team with stories and photography opportunities whenever possible.

Safety

Ensure and promote a safe work environment; following all safety guidelines and modeling safe work practices.
Actively monitor the safety compliance of staff and volunteers and report concerns to appropriate managers.
Take immediate action to address any safety concerns and that could put a staff member, volunteer, client, animal, or the organization at risk.

Material and Equipment Directly Used

May operate vehicles during routine and emergency operations under varying road, weather and lighting conditions.
Various computers with Windows software such as Outlook, Word, Excel, PowerPoint and animal shelter software such as Chameleon.
Various donor-related software such as Raiser’s Edge, Qgiv, and MailChimp.
Various cloud software programs such as LinkedIn Learning, and SystemHub.
Various office equipment such as faxes, telephones, printers, scanners, and copy machines.

Physical Demands

·         Regularly sits at computer station, often in a shared office space.

·         Must be able to lift, push, and pull a minimum of forty pounds with reasonable accommodations.

·         Consistently exposed to animals in the workplace and animal allergens under conditions with limited alternatives available.

·         Periodically drives a HSPPR Vehicle to perform duties.

Schedule Requirements

Schedule may occasionally include weekend and evening work.

 

Education/Experience Necessary:

·         High school diploma, GED, or higher required.

·         One+ year(s) of development/philanthropy experience preferred.

·         Experience in a progressively responsible role in an office environment preferred.

·         Strong customer service, communication, and interpersonal skills.

·         Ability to create, compose, and edit written materials.

·         Attention to detail and the ability to prioritize and execute projects while meeting deadlines.

·         Ability to initiate and complete projects and provide donor support with little supervision while exercising good judgment.

·         Computer expertise and high proficiency with Microsoft Office software, data entry, and reporting.

·         Working knowledge of donor databases (Raiser’s Edge/NXT) preferred.

·         Animal welfare and handling experience is a plus.

 

Salary – 18.70 to 21.00/hour DOE
